Local AI for GPs: Practice-Admin AI That Never Leaves the Surgery
Referral letters, insurer and solicitor reports, HSE correspondence, the practice policies folder — drafted and searched by an AI on a machine in your own building. Health data never goes to a third party. It never triages, ever.
Local AI for GPs is private AI running on a dedicated machine inside the practice rather than a cloud provider's servers. It drafts referral letters and medical reports from the notes you paste, and searches practice documents — with patient data never sent to a third-party AI processor. AgentHub installs and supports it. Administrative use only; it never triages symptoms.

Admin only, never clinical · Irish, PhD-led team · Bring your practice manager and your DPO
The product is Local AI: one machine in the practice running private chat, document spaces and assistants. Our AI receptionist for GPs answers the phone; this handles the paperwork.
A GP Practice Is a Letter-Writing Business Attached to a Surgery
Ask any practice manager where the GPs' time goes after the last patient and the answer is paperwork: referral letters to the hospital, medical reports for insurers and solicitors, letters to social welfare and employers, replies to hospital discharge summaries, occupational-health reports, the medical-card review correspondence, and a policies folder — infection control, chaperoning, complaints, data protection — that needs updating every time guidance changes. Every one of those documents carries a patient's name and clinical history: special-category health data under Article 9, held under Medical Council guidance that expects it treated like the record itself.
So the temptation is obvious. A GP with six referral letters to write at 6.30pm pastes the consultation note into a free chatbot and asks for a letter to the orthopaedic clinic. It's a good letter. The patient's history is now on a server abroad, under a consumer licence, with no record that it went — and the Medical Council, the DPC and the patient would all take a dim view. A blanket ban doesn't stop it; it moves it to a personal phone.
Local AI gives the GP the same tool on a machine in the practice. The note is pasted, the referral letter is drafted in the practice's format, and nothing has left the building — no third-party AI processor for the health data, no international transfer. The practice management system stays where it is; Local AI sits beside it for the writing, not the record. And it draws the same line our other GP tools draw: administrative work only, never symptoms, never triage, never a clinical decision. Our GDPR-compliant AI page covers what that removes from a practice's assessment; our guide to what a data processor is under GDPR explains why a public chatbot is a controller in its own right, not your processor.
Private AI for the Writing a GP Practice Does Every Day
One machine in the practice. GPs, nurses and admin staff sign in with the Microsoft 365 or Google Workspace accounts they already have.
Private Chat
Paste a consultation note and ask for a referral letter, an insurer report or a reply to a discharge summary — drafted in your practice's format, on your own hardware, reviewed and signed by the GP.
Document Spaces
Policies, protocols, HSE circulars, GMS correspondence, supplier contracts, the staff handbook — searched and summarised with a citation to the page. "What does our chaperone policy say?" answered with the source.
AI Assistants
Recurring admin made repeatable: the standard insurer-report template, the occupational-health report structure, the monthly claims-summary letter — built on the same machine and covered by the same support.
What a GP Practice Writes, and What Local AI Does With It
| Document | Why it can't go to a public tool | What Local AI does | Who signs it off |
|---|---|---|---|
| Referral letters to hospital clinics | Clinical history — special-category data | Drafts from the consultation note, in your format | The referring GP |
| Medical reports for insurers and solicitors | Third parties requesting clinical detail under consent | Drafts the report from the record you paste; flags gaps against the request | The GP — always |
| Replies to discharge summaries and hospital letters | Clinical detail from two providers in one document | Summarises the letter; drafts the acknowledgement or query | The GP |
| Social welfare, employer and occupational-health letters | Health and employment data together | Drafts to the standard template from the note | The GP |
| GMS and medical-card correspondence | Patient identifiers and scheme data | Drafts replies; summarises circulars | The practice manager |
| Policies, protocols, staff handbook | Practice IP; staff personal data in HR sections | Searched, summarised, redrafted when guidance changes | The practice manager |
Administrative Only: What Local AI Does in General Practice, and What It Never Does
The same line as our AI receptionist for GPs, which never triages symptoms. This machine doesn't either.
| Area | Local AI does | Local AI never does |
|---|---|---|
| Symptoms and triage | Nothing | Assess a symptom, rank urgency, suggest a diagnosis or a treatment |
| Prescribing | Nothing | Suggest, check or draft a prescription |
| Letters and reports | Drafts from the note you paste, for the GP to review and sign | Send anything unreviewed |
| The patient record | Stays in your practice management system | Replace, alter or become the clinical record |
| Data location | Everything stays on the machine in the practice | Send health data to an AI provider, or use it to train a model |
| Staff and HR documents | Searched and drafted, in a space limited to the practice manager | Make a decision about a member of staff |
If a practice asks us to build anything on the clinical side, we'll decline and say why. The value is in the hour a day of letters, not in anything a GP trained for. For the phone — repeat prescription requests, appointment bookings, the 8.30am rush — our cloud AI receptionist for GPs is the right tool, with the same never-triage rule; for the inbox, email management for GPs. Many practices run both alongside Local AI.
One Practice, One Folder, Live in Weeks
The Call, With Your Practice Manager and DPO
Which letters, which folders, how many GPs and staff. We'd rather answer the Article 9, processor and DPIA questions before anything is installed.
DPA Signed, Machine Installed
A configured machine on your network — a comms cupboard is fine — connected to your Microsoft 365 or Google sign-in, with the policies and templates folder imported into spaces.
Train, Go Live, Keep It Current
Half a day's training for the GPs and admin team. Updates, model upgrades, backups and support are ours.

What Clients Say About Working With Us
Since installing AgentHub's AI receptionist, we haven't missed a single patient call. It handles appointment queries after hours and our front desk staff can focus on in-clinic care.

Local AI for GP Practices: Your Questions Answered
Can a GP practice use AI on patient records under GDPR?
Health data is special-category data under Article 9, so every processor and transfer raises the bar. Local AI removes both for the AI step: the model runs on a machine in your practice, nothing goes to an AI provider and nothing crosses a border. Lawful basis, retention and any DPIA remain yours as controller.
Will it triage patients or help with diagnosis?
No, and we won't build it to. Local AI in a GP practice is administrative only: referral letters, reports, correspondence and practice documents, drafted from the note you paste for the GP to review and sign. It never assesses a symptom, ranks urgency, suggests a diagnosis or touches a prescription.
Does it connect to our practice management system?
It sits beside it, not on top of it. The patient record stays in your practice software; you paste the note you need a letter written from and the draft comes back on the same machine. Policies, templates and correspondence folders can be imported into document spaces for search.
Will it draft insurer and solicitor medical reports?
Yes — from the record you paste and the request letter, in your practice's report format, flagging any section the request asks for that the note doesn't cover. The GP reviews, corrects and signs. It won't decide what to disclose; consent and disclosure remain the GP's judgement.
Does it work for a group practice or an out-of-hours co-op?
Yes. One machine serves the practice, sized for the number of GPs, staff and documents; access follows your Microsoft or Google groups, so the HR folder stays with the practice manager. A second site is a second machine, or a conversation about your network — we'll cover it on the call.
How much does Local AI cost for a GP practice?
Three parts, in euro: the hardware, the setup, and a monthly support fee covering updates, model upgrades, backups and the people who installed it. No per-user or per-letter fees. We quote after a short call once we know the number of GPs and staff and what gets written.
Six Referral Letters at 6.30pm, Drafted Without a Patient's History Leaving the Practice
Tell us what gets written in your practice and who writes it. Bring your practice manager and your DPO. We'll size the machine and come and install it.
