Email Management for Dentists Who Are Chairside All Day

The practice inbox fills up while the surgery is running. Our AI Email Manager triages every message as it lands — new patient, existing patient, referral, supplier — and drafts the replies for your team to approve.

Email management for dentists means keeping the practice inbox triaged, answered and chased without pulling anyone away from the chair. AgentHub's AI Email Manager reads every message the moment it arrives, sorts it into new-patient, existing-patient, referral and supplier buckets, drafts replies your team approves before sending, and routes anything clinical to the dentist.

Built in Ireland, for Irish Practices

The dental demo shows the AI triaging a real practice inbox — implant enquiry, referral letter, lab email — and drafting replies for approval. The solicitors' version is there for comparison.

The Problem

Nobody Actually Owns the Practice Inbox

Almost every Irish practice has an info@ or reception@ address, and almost none of them have a person whose job it is to sit in it. Reception is on the phone, checking patients in, and running back to assist chairside. The inbox gets looked at between patients, at lunch if lunch happens, and again at half five when everyone wants to go home.

Meanwhile the mail that landed at 8:40am is still sitting there: a woman asking what implants cost, a patient who wants to change Thursday's appointment, a referral letter from a general dentist, a lab email about a crown that will not be ready on Friday, and eleven supplier newsletters. They all look identical in a list of unread subject lines. The only way to know which is which is to open all of them.

That is what our AI Email Manager was built to fix — and it is why the dental version of it is the demo we show most often. It does the opening and sorting for you, so the practice inbox arrives already triaged.

What You Get

Dental Inbox Management That Runs Between Patients

Triage, drafted replies, and a hard line around anything clinical.

📂

Automatic Triage Into Four Buckets

Every message is sorted on arrival: new-patient enquiry, existing patient, referral, or supplier and lab. Marketing mail is filed away. Reception opens a triaged inbox instead of an undifferentiated pile.

✍️

Replies Drafted, You Approve

Routine answers — opening hours, parking, what a consultation involves, how finance works — are drafted in your practice's tone and wait for a one-click approve. Nothing goes out unless somebody says so.

🩺

Clinical Questions Go to the Dentist

Symptoms, pain, medication, healing after an extraction, whether a treatment is suitable — all routed to the dentist untouched. The AI never gives clinical or treatment advice by email. That is a hard boundary, not a setting.

Where Each Type of Practice Email Goes

Every message has a fixed route, and one of them is never answered by AI.

Email typeWhat the AI doesWho it reaches
New-patient enquiryTriaged as new-patient and a priced reply drafted from the figures you have approvedReception, to approve and send
Referral letterIdentified as a referral, separated from marketing and supplier mail, acknowledged automaticallyWhoever books specialist lists
Lab correspondenceFlagged against the relevant day's list, so a crown that will not be ready is caught before the patient sets offReception and the treating dentist

How It Works

Live in Days, Without Disrupting the Surgery

1

We Learn Your Practice

A short call to map what lands in your inbox, which treatments generate enquiries, who handles referrals, and where the clinical line sits. We read your sent mail to learn the tone.

2

We Connect the Mailbox

Microsoft 365 or Gmail, whichever the practice already runs. No migration, no new address on the website, nothing for reception to learn. Your practice management software is untouched.

3

Enquiries Get Answered Same Day

New-patient enquiries are drafted within minutes of arriving, follow-ups are chased, and reception spends its inbox time approving rather than reading.

A Real Practice Inbox

What Lands in a Dental Practice Inbox — and What the AI Does With It

The same nine emails arrive either way. The difference is what state they are in when reception finally sits down.

What landsHandled between patientsWith the AI Email Manager
Implant enquiry, sent 8:40amOpened at half five, answered Wednesday — by then she has rung two other practicesTriaged as new-patient, priced reply drafted from your approved figures, ready to approve before the first patient of the day

Treatment-plan follow-upNobody chases; the plan quietly lapsesFlagged after your chosen interval with a polite, non-pushy follow-up drafted for approval
Finance and payment-plan queryForwarded to whoever knows the answer, then forgottenRouted to the practice manager with your standard finance explainer already drafted

Appointment change or cancellationRead too late to offer the slot to anyone elseSurfaced immediately and summarised so reception can fill the gap from the short-notice list

The row worth dwelling on is the first one. A single implant, ortho or full cosmetic case is worth several thousand euro, and the patient who emails about it at twenty to nine is almost always emailing two or three other practices at the same time. Speed of reply decides that case far more often than price does. Every practice knows this and almost none can act on it, because at twenty to nine the whole team is getting the surgery ready.

If phone enquiries go the same way as email in your practice, the pattern is identical and so is the fix — our AI receptionist for dentists covers the calls. For a broader view of where automation earns its keep in a practice, the blog on AI automation for dentists in Ireland walks through the whole patient journey.

Boundaries and Patient Data

Where the AI Stops, and What Happens to Patient Information

Dentistry is a regulated profession, and email is not a consulting room. So the boundary is drawn deliberately and it is not adjustable: the AI never gives clinical or treatment advice. If a patient describes symptoms, asks whether their pain is normal, asks about medication, asks whether a treatment is right for them, or sends a photograph of a tooth, that message is routed to the dentist with the full thread attached and nothing is drafted. Practices registered with the Dental Council of Ireland stay firmly in charge of every clinical word that leaves the building — the AI handles logistics, admin and the pricing ranges you have already approved.

Patient data is treated the same way. The AI works inside your existing mailbox rather than copying correspondence out to a separate system, so patient emails stay where your retention policy already covers them. Processing is covered by a data processing agreement, you remain the data controller under GDPR and Irish Data Protection Commission rules, and we can restrict which folders the AI is permitted to read — many practices start it on the general enquiry inbox only and widen it later. Nothing is used to train public models.

The same service without the dental framing is described on our email management page, with the Irish setup and support detail on email management in Ireland. If you want to understand what the drafting engine can and cannot send on its own, read how automated email responses are configured, then tell us about your inbox.

Client Stories

What Our Clients Say

New-patient enquiries used to sit until the end of the day. Now the draft is waiting when I open the inbox and the reply is gone before nine. We converted three implant consultations in the first month that we would previously have lost.

What convinced me was that it refuses to answer anything clinical. Referrals and lab mail get sorted, the admin gets drafted, and anything a patient asks me about their treatment still comes to me. That is exactly the right split.

FAQ

Email Management for Dentists: Your Questions Answered

What is email management for dentists?

It is the day-to-day work of keeping a practice inbox under control: triaging new-patient enquiries, treatment-plan follow-ups, referral letters, lab mail and supplier invoices, and answering the routine ones quickly. Our AI does the first pass on every message the moment it lands, so nothing waits for a gap between patients.

Will the AI give patients clinical or treatment advice by email?

No — that is a hard boundary. Anything clinical, including symptoms, pain, medication, post-operative queries or whether a treatment is suitable, is routed straight to the dentist with the thread attached. The AI handles logistics, pricing ranges you have approved, and appointment admin only.

How does it handle referral letters from other practices?

Referrals are their own triage bucket. Incoming referrals from GPs, general dentists or specialists are identified, separated from marketing and supplier mail, acknowledged automatically, and passed to whoever books specialist lists — so a referral never sits behind forty newsletters.

Is patient data handled under GDPR?

Yes. The AI works inside your existing Microsoft 365 or Gmail mailbox rather than copying patient correspondence into a separate system, processing is covered by a data processing agreement, and we can restrict which folders it may read. Your practice remains the data controller under Irish DPC rules.

Does it work for a single-surgery practice or only larger groups?

Both. A single-surgery practice usually feels the benefit fastest, because there is no dedicated inbox owner — the same person is on reception, on the phone and assisting chairside. Larger multi-site groups use it to route mail to the right site automatically.

Can it work alongside our practice management software?

It sits in the inbox, not in your clinical records, so it runs alongside whatever practice management system you use. Appointment change requests and cancellations are surfaced and summarised for reception to action in your diary — the AI does not write to patient records.
