AI Solutions for Dentists: The Practice Side, Not the Clinical Side

Every unanswered call, unfilled cancellation and unbooked treatment plan is money already earned and then lost. That is where AI pays for itself in a dental practice — and we build nothing that touches diagnosis.

AI solutions for dentists in Ireland come in two very different kinds. Clinical AI reads radiographs and is regulated as a medical device. Business AI runs the practice around the chair: answering the phone, triaging emergencies, working the inbox, filling gaps from cancellations and chasing accepted treatment plans. We build the second kind only.

The Problem

A Dental Practice Loses Money in the Gaps, Not in the Surgery

Nobody running an Irish practice needs to be told the clinical work is fine. The leaks are all administrative, and they are always the same ones. Reception is on the phone, chairside, or handing over a card machine — so the second caller hits voicemail and rings the practice down the road. A patient cancels a crown at 8am and the surgery sits empty at 11, because filling it means someone ringing thirty people from a waiting list they haven't opened in a fortnight.

Then there is the quiet one: treatment plans that were discussed, costed and agreed in the chair, and never booked. Implants, ortho, multi-visit restorative work — the highest-value cases in the diary — go silent because the follow-up depends on someone remembering. Add six-month recalls that slip, hygiene appointments nobody rebooked, and patients who last attended in 2023 and were never contacted again, and you have a practice working hard for revenue it already won once.

What You Get

The AI Projects Irish Dental Practices Actually Buy

Six practical builds. Most practices start with one, prove it, then add the next.

📞

The Phone, Answered 24/7

Every call picked up — including the overflow when reception is chairside, and the Sunday-night caller with a broken front tooth. Routine callers get answers and appointments; genuine emergencies are triaged and passed straight to the on-call dentist under rules you write. Built on our AI receptionist, detailed on the AI receptionist for dentists page.

📧

The Shared Inbox, Triaged

info@ collects new-patient enquiries, referral letters, lab correspondence, invoices and complaints in one undifferentiated pile. The agent sorts them, drafts replies in your practice's tone, and flags anything clinical or sensitive for a human. See the email manager and email management for dentists.

📅

Recalls and Reminders That Run Themselves

Six-month checks, hygiene visits and ortho reviews go out on schedule by text or email, with a confirm-or-rebook reply handled automatically. Fewer failed-to-attend slots, and no one manually working through a recall list on a Friday afternoon.

Short-Notice Gap Filling

When a cancellation lands, the agent contacts the right patients within minutes — the ones who wanted an earlier date and who fit the length of the slot — and books the first to accept. An empty hour in a surgery is the most expensive thing in the building.

📋

Treatment-Plan Follow-Up

Accepted plans that were never booked get a structured, courteous follow-up sequence instead of a note in someone's head — answering the practical questions about cost, payment options and visit count that usually cause the silence. Our leads outreach agent does the same job for new-patient enquiries.

🔄

Lapsed-Patient Reactivation and Paperwork

Patients who have not attended in two years are contacted properly rather than never. And the background admin — insurance and PRSI-related claim paperwork, statements, supplier invoices, month-end reconciliation prep — stops eating a practice manager's evenings.

Where We Stop

What We Do Not Build for Dentists

Being explicit about this saves everyone a wasted conversation.

AreaIn scope for usOut of scope
Radiographs and imagingNothingCaries detection, bone-level analysis, any image interpretation
Clinical decisionsNothingDiagnosis, treatment suggestion, triage of clinical severity by the AI alone
Patient contactBooking, reminders, recalls, follow-up, general practice informationClinical advice of any kind — those calls go to a human
RecordsAppointment and contact dataWriting or altering clinical notes
EmergenciesRecognising urgency signals and routing the caller to your on-call dentist under your rulesDeciding how urgent a clinical problem actually is

The reason is not caution for its own sake. Software that interprets a radiograph or influences a treatment decision is a medical device under EU Regulation 2017/745, with the conformity assessment, clinical evaluation and post-market surveillance that go with it. That is a different business from ours, and any supplier offering it to an Irish practice should be able to show you its CE marking. Everything on this page sits on the administrative side of that line, where clinical judgement — and responsibility under the Dental Council of Ireland's standards for practice — stays exactly where it belongs, with the dentist.

How It Works

One Bottleneck First. Live in Weeks. Measured.

Practice-wide AI transformation projects are how practices waste money. This is the opposite.

1

Pick the Expensive Gap

A short call to find which leak costs you most — missed calls, empty surgery hours, or accepted plans never booked — and agree the number we are trying to move.

2

Integrate, Don't Replace

You already run practice management software and your team knows it. The agent plugs into what exists — availability, contact details, your scripts — so nobody learns a new system.

3

Go Live, Then Check the Numbers

Live in weeks, not quarters. We report what it handled and what it recovered. If it moves the number, we look at the next gap; if it doesn't, you stop.

Software and Patient Data

It Sits Beside Your Practice Management System, Not On Top of It

Almost every practice in Ireland already runs a practice management system, and the diary in it is the single source of truth. Nothing we build asks you to move off it. The agent reads availability, writes appointments back, and logs every conversation where your team already looks — so the practice manager's morning routine does not change, it just has fewer holes in it. Where an integration is not available, we work with exports and confirmations rather than forcing a migration; the work is always integration, never replacement.

Patient information is special category data under GDPR, and we design for the minimum on purpose. The agent handles names, contact details and appointment data — the fields needed to book, remind and route a call — and never clinical notes. Processing runs in the EU under a written data processing agreement, every action is logged so you can answer a subject access request, and messages carry the consent and opt-out handling the Irish Data Protection Commission expects. Our co-founder is a Security Architect, so this is scoped at the design stage rather than patched afterwards.

FAQ

AI for Dental Practices: Your Questions Answered

What can AI actually do in a dental practice?

The business side of the practice: answering calls when reception is chairside or closed, triaging emergencies to the on-call dentist, working the shared inbox, running recalls and reminders, refilling short-notice cancellations, following up treatment plans that were accepted but never booked, and reactivating lapsed patients.

Do you build AI that reads radiographs or helps with diagnosis?

No. Anything that interprets radiographs, suggests a diagnosis or influences a treatment decision is a regulated medical device, and it is outside what we build. Clinical judgement stays entirely with the dentist. We only automate administration — calls, messages, scheduling and paperwork.

Will it work with our practice management software?

That is the normal starting point. Almost every Irish practice already runs a practice management system, so the job is integration rather than replacement: the agent reads availability, writes appointments and logs each conversation where your team already looks. Nobody learns new software.

How is patient data handled under GDPR?

Patient information is special category data, so we design for the minimum: the agent sees only the fields it needs to book, remind or triage — never clinical notes. We work under a written data processing agreement, use EU-hosted processing, and log every action so your practice can answer a data request.

We are a two-surgery practice. Is this only worth it for big groups?

Smaller practices often gain more, because one person covers reception, the phone and the inbox at the same time. A single project — usually the phone or the cancellation list — is enough to pay for itself, and it can be live in weeks rather than a practice-wide programme.

How does a project start, and how long does it take?

It starts with one bottleneck, not a transformation plan. We agree a measurable target — missed calls, unfilled gaps, unbooked treatment plans — configure the agent on your own scenario, run it live in weeks and report the numbers. If it does not move them, you stop.
