Email Management Ireland: An AI That Runs the Shared Inbox

In most Irish SMEs, info@ is shared by two or three people and owned by nobody. Our AI Email Manager reads everything that lands there, sorts it, drafts the replies — and keeps the whole thing inside the EU.

Email management in Ireland usually means one shared mailbox — info@ or accounts@ — absorbing customer enquiries, Revenue correspondence, bank letters and supplier invoices at once. AgentHub's AI Email Manager reads each message as it arrives, categorises it, drafts a reply in your tone and flags what needs a person. Nationwide, on Microsoft 365 or Google Workspace, with data processed in the EU.

The Problem

The info@ Mailbox Nobody Actually Owns

Irish SMEs are small enough that the inbox is shared and big enough that it matters. A typical setup: info@ watched by two or three people, an office manager on four days, and an owner who covers the rest. Everyone assumes someone else picked up the message about Tuesday's site visit. Nobody did. That is not a discipline problem — it is what happens when a mailbox has three part-time owners and no rules written down anywhere.

It gets worse the further your work spreads. A contractor covering four counties finishes in Athlone at half six, drives home, and triages the day's email from the van at nine o'clock — half-answering things on a phone screen, promising to "come back properly tomorrow". Tomorrow starts with a new pile. Our AI Email Manager does the first pass before anyone opens the mailbox, so the evening job becomes ten decisions instead of ninety unreads.

Another Pair of Hands, or an AI on the Inbox?

The usual fix for a drowning info@ is to hire someone. Here is how that compares with handing the first pass to an AI.

What You Get

Inbox Management for Irish Businesses, Nationwide

One service, whether you trade from one office in Sligo or five sites across Leinster.

📧

Shared Mailboxes Get an Owner

Every message in info@ or accounts@ is categorised and assigned the moment it lands, so nothing sits in the gap between two part-time inbox watchers. The general email management service explains the mechanics in full.

🇩🇪

Correspondence Stays in the EU

Mail stays in your own tenant and processing runs on EU infrastructure — a straight answer for any customer who asks where their data went, and for the Data Protection Commission if they ever ask.

Covers the Hours You Don't

Enquiries sent at 8pm or over a bank holiday weekend are sorted and drafted before you're back at a desk — see how automated email responses handle out-of-hours acknowledgements.

How It Works

Connected in Days, Wherever You Are

1

A Call, Not a Site Visit

Twenty minutes on a video call to map your mailboxes, your categories and who owns what. No travel, no cost, whether you're in Dublin 2 or west Clare.

2

We Connect Microsoft 365 or Google Workspace

Those two cover almost every Irish SME. We connect the mailbox you already use — shared mailboxes included — with scoped permissions and a signed data processing agreement.

3

Drafts First, Autopilot Later

Everything starts in draft-for-approval. Once you trust a category — appointment confirmations, quote acknowledgements — you release it to send on its own. Most clients are live within days.

Ireland Specifics

What Email Management in Ireland Actually Has to Deal With

Not a generic inbox. An Irish one — with Revenue, the bank, GDPR and a customer in another county all in the same list.

What lands in the shared mailboxWhy it stallsWhat the AI does with it
Revenue and ROS correspondenceGoes to info@, gets skimmed, sits until the accountant chases it near a filing dateCategorised as compliance, routed to the person who owns filings, kept out of the general pile
Bank and lender correspondenceLooks like the twelve phishing mails pretending to be the same bankFlagged for a human every time — the AI never actions financial instructions on its own
A GDPR access request from a customerRead as an ordinary complaint; the statutory clock starts and nobody noticesRecognised, escalated immediately, and logged with a timestamp you can show the DPC
A new enquiry at 8pm from two counties overAnswered next afternoon, by which time three competitors have rung backAcknowledged within minutes, qualified, and drafted in full for your morning approval
The bank holiday Monday backlogThree days of mail hits an office that reopens on Tuesday already behindSorted continuously through the weekend, so Tuesday opens on a short list, not a wall

Two points worth being plain about. First, data: customer correspondence is personal data, the Data Protection Commission is the supervisory authority here, and "our vendor said it's fine" has never been a defence. We put the processing agreement, the retention period and the EU processing location in writing before anything connects to your mailbox. Second, judgement: the AI drafts, it does not decide. Anything with legal or financial consequence — a solicitor's letter, a payment change request, a formal complaint — is handed to a person, deliberately.

This page is the whole-of-Ireland option, and it is the right one for most businesses — the service is identical in Ballina and Ballsbridge. If you'd rather start local, we run pages for email management in Dublin, Cork, Limerick, Galway and Waterford. And if you'd sooner buy a tool and run it in-house than have it managed for you, our email management software comparison is an honest read on where that works and where it doesn't.

Client Stories

What Our Clients Say

We cover five counties and our info@ was a graveyard. Everything is sorted before I open it now, and the replies sound like us. I've stopped doing email in the van at night.

Our first question was where the data sits. Getting the EU processing and the agreement in writing up front is why we went ahead — and the inbox has been calm since.

FAQ

Email Management in Ireland: Your Questions Answered

Is AI email management GDPR compliant in Ireland?

Yes. Customer correspondence is personal data, so we treat it that way: a written data processing agreement, defined retention, and processing inside the EU. Your obligations to the Data Protection Commission stay yours — our job is to make them documentable rather than assumed.

Does our email data leave the EU?

No. Mail stays in your own Microsoft 365 or Google Workspace tenant and processing runs on EU infrastructure. Nothing is copied into a separate archive abroad, and we can show you exactly which systems touch a message before you sign anything.

Do you cover businesses outside Dublin?

Yes — this is the whole-of-Ireland service, from Donegal to Wexford. The AI is cloud-based, so a Roscommon office gets the same setup as a Dublin one. We also run city pages for Dublin, Cork, Limerick, Galway and Waterford if you prefer a local starting point.

Does it work with Microsoft 365 and Google Workspace?

Both, which covers nearly every Irish SME we meet. The AI connects to the mailbox you already have — including shared info@ and accounts@ mailboxes — with no migration, no new addresses and nothing for staff to install.

What happens out of hours and on bank holidays?

Sorting and drafting never stop, so a Friday evening enquiry is triaged before Monday. You decide what may auto-send outside business hours: many clients allow acknowledgements only, then release the real replies when the office reopens after the bank holiday.

How much does email management cost in Ireland?

A flat monthly subscription in euro — no per-email charges, no contract, cancel anytime. The figure depends on mailbox volume and how many inboxes you connect, so we quote after a short call. Setup is free until 31 August.
