Local AI for Dentists: Private AI Inside the Practice, Not the Cloud

Referral letters, lab correspondence, insurer queries, practice policies — the writing a dental practice does every week, drafted by an AI on a machine in your own building. Patient data never goes to a third party. Nothing clinical, ever.

Local AI for dentists is private AI running on a dedicated machine inside your practice rather than a cloud provider's servers. It drafts referral and patient letters, summarises correspondence and searches practice documents — with health data never sent to a third-party AI processor. AgentHub installs and supports it. It handles admin, never clinical decisions.

The Practice Side

A Dental Practice Writes More Than It Drills — and None of It Should Go to a Public Chatbot

Between patients, a practice produces a steady stream of writing: referral letters to the oral surgeon or orthodontist, replies to the lab about a crown, treatment-plan cover letters, responses to an insurer or a solicitor asking for a report, medical-card scheme correspondence, complaint responses, and the staff handbook nobody has updated since 2021. Every one of those documents carries a patient's name and, usually, their clinical history — special-category health data under Article 9 of the GDPR, which the Dental Council expects you to guard like the records themselves.

Here's what happens in practice. It's a Tuesday, the principal has a referral letter to write before the next patient, and the fastest route is to paste the clinical note into a free chatbot and ask for "a referral letter to an oral surgeon". The letter comes back good. The patient's history is now on a server abroad, under a consumer licence nobody in the practice has read, with no record that it went. A blanket ban doesn't stop that; it moves it to a personal phone in the staff room.

Local AI gives the principal the same tool on a machine in the practice. The note is pasted, the letter is drafted, and nothing has left the building — there is no third-party AI processor for the health data and no international transfer to justify. Your practice management system stays where it is; Local AI sits beside it, for the writing, not the records. Our GDPR-compliant AI page goes through what that removes from a practice's assessment, article by article, and our guide to what a data processor is under GDPR lists the ten processors a typical Irish dental practice already has.

What You Get

Private AI for the Writing a Dental Practice Does Every Week

One machine in the practice. Staff sign in with the Microsoft 365 or Google Workspace accounts they already have.

💬

Private Chat

Paste a clinical note and ask for a referral letter, a treatment-plan cover letter or a reply to the lab — drafted in your practice's tone, on your own hardware, reviewed and signed by you.

📂

Document Spaces

Policies, protocols, HSE scheme circulars, supplier contracts, the staff handbook — searched and summarised with a citation back to the page. "What does our radiation protection procedure say about…" gets an answer, with the source.

🤖

AI Assistants

Recurring jobs made repeatable: the monthly scheme reconciliation summary, a standard insurer-report template, a complaint-response first draft — built on the same machine and covered by the same support.

The Line

What Local AI Does in a Dental Practice, and What It Never Does

The same line our other dental tools draw: the practice side, not the clinical side.

If a practice asks us to build something on the clinical side, we'll say no and explain why. The value is in the two hours a week of letters, not in anything a dentist trained for. For the phone and the inbox — where there are no clinical notes in play and speed matters more than data location — our cloud AI receptionist for dentists and email management for dentists are the better tools, and plenty of practices run both.

How It Works

One Surgery, One Folder, Live in Weeks

1

Tell Us What Gets Written

A short call with the principal or practice manager: which letters, which folders, how many staff. We size the machine from that.

2

We Install It in the Practice

A configured machine goes on your network — a comms cupboard is fine — connected to your Microsoft 365 or Google sign-in, with the policies and templates folder imported into spaces.

3

Train, Go Live, Keep It Current

Half a day's training for the team. Updates, model upgrades, backups and support are ours, under a data processing agreement signed before go-live.

FAQ

Local AI for Dental Practices: Your Questions Answered

Can a dental practice use AI on patient data under GDPR?

Health data is special-category data, so any processor and any transfer raise the bar. Local AI removes both for the AI step: the model runs on a machine in your practice, nothing goes to an AI provider and nothing crosses a border. You remain the controller; lawful basis, retention and access stay your decisions.

Does Local AI connect to my practice management system?

It sits beside it, not on top of it. The patient record stays in your practice software; you paste the note you need a letter written from, and the draft comes back on the same machine. Policies, templates and correspondence folders can be imported into document spaces for search.

Will it draft referral letters?

Yes — from the clinical note you paste, in your practice's format and tone, for the referring dentist to review and sign. It will not decide whether to refer, suggest a diagnosis or read a radiograph. The clinical judgement is yours; the typing is the machine's.

Does it work for a multi-surgery or group practice?

Yes. One machine serves the practice, sized for the number of staff and the document volume. Document spaces keep the HR folder separate from the clinical templates, and access follows your Microsoft or Google groups. A second site is a second machine, or a conversation about your network.

Is it the same thing as the AI receptionist?

No. The AI receptionist is a cloud voice agent that answers the practice phone 24/7. Local AI is a machine in the building for the writing and the documents. They're different tools for different gaps, and many practices run both — the receptionist for the phone, Local AI for the paperwork.

How much does Local AI cost for a dental practice?

Three parts, in euro: the hardware, the setup, and a monthly support fee covering updates, model upgrades, backups and the people who installed it. No per-user or per-letter fees. We quote after a short call once we know the number of staff and what gets written.

Two Hours of Letters a Week, Drafted Without a Patient's History Leaving the Practice

Tell us what gets written in your practice and who writes it. We'll size the machine and come and install it.
