Email Management for Solicitors: Your Inbox Is the Case File

Contracts, requisitions, loan packs, counsel's advices and the client asking again where things stand โ€” all in one inbox. Our AI Email Manager triages every message to the right matter and drafts the routine replies for a fee earner to approve.

Email management for solicitors means triaging correspondence by matter and client, threading it to the right file, answering routine client queries and catching anything time-critical. AgentHub's AI Email Manager does that first pass the moment each email lands โ€” drafting holding replies and status updates for a fee earner to approve. It never gives legal advice, and nothing goes out unreviewed on a live matter.

The Problem

In a Law Firm, Email Isn't Admin. It's the File.

In most businesses a missed email is an inconvenience. In a solicitor's practice it moves a closing date. A conveyancing chain runs almost entirely on email: contracts out, requisitions on title back, replies to those requisitions, the lender's loan pack confirmation, the auctioneer chasing keys, the other side's solicitor proposing a date. Every one of those lands in the same inbox as a newsletter from a legal software vendor. One message read a day late and a closing slips โ€” with a chain of buyers and sellers behind it who all take that personally.

Then there is the other drain, the one every managing partner recognises: clients emailing for an update. Two, three times a week on a probate that is waiting on the Revenue, or a personal injury file sitting with the Injuries Resolution Board. The honest answer is usually "nothing has changed yet", and writing that answer is the single biggest unbilled use of fee-earner time in a small firm. Meanwhile a new enquiry โ€” a house purchase, an estate to administer โ€” is sitting unopened while the prospective client emails two other firms. Whoever replies first usually gets instructed.

Our AI Email Manager takes that first pass. It reads each message as it arrives, works out which matter and which client it belongs to, drafts the reply where a reply is routine, and puts anything with a deadline or an undertaking in front of a human immediately. We wrote more about the wider picture in our guide to AI automation for solicitors in Ireland.

What You Get

Legal Inbox Management That Knows Which Matter It's Reading

Not folders and rules. An AI that understands the correspondence in front of it.

📑

Triage by Matter and Client

Every email is classified on arrival โ€” conveyancing, probate, litigation, family, new enquiry, accounts โ€” and matched to the client and matter reference. Counsel, the auctioneer, the lender and the other side's solicitor in one thread are all recognised as parties to the same file.

📁

Correspondence Threaded to the File

Attachments and replies are labelled and filed against the matter, so the file is complete without anyone dragging messages into folders at six o'clock. Where your case management system offers an API, correspondence is pushed straight into it.

✍️

Drafted Replies You Approve

Acknowledgements, holding replies and client status updates are drafted in the firm's tone and queued for the fee earner. One read, one click, sent โ€” or edited first. On a live matter, nothing sends itself.

Time-Critical Items Flagged

A closing date, a Statute deadline, an undertaking sought or given, a court date, a Section 68 letter still outstanding โ€” these are surfaced to the top of the inbox and, if you want, pushed to the responsible solicitor by text.

💬

Client Updates Without the Chase

Repeat "any news?" emails get an accurate, approved update rather than silence. Firms tell us this alone gives a fee earner back the best part of a morning each week, and complaints about communication quietly stop.

🔒

Confidentiality Kept In-House

The AI works inside your own Microsoft 365 or Google Workspace tenancy under a data processing agreement. Privileged correspondence isn't copied out to a third-party archive, and whole matters can be excluded.

Correspondence Routing by Matter Type

Which file each message is threaded to, and what the AI is allowed to draft against it.

Matter typeWhat lands in the inboxWhere it's threaded, and what's drafted
ConveyancingContracts out, requisitions on title and the replies to them, loan pack confirmations, the auctioneer chasing keys, the other side proposing a closing dateThreaded to the conveyancing file under its matter reference. Anything affecting a closing date is pushed to the top and the conveyancer alerted; routine confirmations are drafted for approval.
ProbateRevenue correspondence, valuations, beneficiary queries, and the executor asking again where things standThreaded to the estate file. The repeat "any news?" email gets an accurate status update drafted from the file rather than silence.
Personal injuryInjuries Resolution Board correspondence, counsel's advices, medical reports, the client's own updatesRouted to the fee earner with the matter and the deadline attached. Statute deadlines are surfaced rather than left to memory.
Family lawCorrespondence on files that are sensitive by definition, often between parties who are not speakingThreaded like any other matter โ€” or excluded from the AI entirely, per file, so it never reads them. That choice is yours to make file by file.
Litigation & commercialCourt dates, undertakings sought or given, discovery correspondence, counsel and expert trafficAn undertaking is recognised as an undertaking and escalated to a named solicitor immediately, not read among general post.
New enquiriesA house purchase, an estate to administer, a claim โ€” arriving at nine on a Sunday evening as often as notAcknowledged within minutes, the details you need for a conflict check captured, and the fee earner who takes that work alerted.
Anything on a live matterAny of the above, once a file is openDrafted only. Nothing leaves the firm until a fee earner has read and approved it, and the AI never advises or comments on the merits. That boundary is not adjustable.
How It Works

Live in Days, Without Disrupting the Practice

1

We Map Your Matter Types

A short call to list the work the firm does, how matter references are structured, who owns which area, and which correspondence must always reach a solicitor unopened by anything else.

2

We Connect the Mailbox

Outlook, Microsoft 365 or Gmail โ€” read-only to begin with, so you can watch the triage and the draft replies for a fortnight before a single one is sent. No migration, nothing for the team to install.

3

You Approve, Then Widen

Once you trust the drafts, you decide which categories may send automatically โ€” usually acknowledgements and appointment confirmations. Live matters stay approval-only for as long as you want, which for most firms is permanently.

A Week in a Firm's Inbox

What Email Management for Solicitors Changes, Message by Message

The same correspondence arrives either way. The difference is what state it's in when a fee earner sits down.

What landsHandled manuallyWith the AI Email Manager
Replies to requisitions on titleRead whenever the conveyancer next opens the inbox; filed later, if at allThreaded to the matter on arrival, outstanding items listed, the conveyancer alerted
Lender confirms the loan pack has issuedBuried under twenty other messages; the closing date is agreed without itFlagged as affecting a closing date and pushed to the top of the file
Client asks "any update?" for the third timeAnswered eventually, usually by the solicitor, usually unbilledAn accurate status update drafted from the file, approved in one click
New probate enquiry at 9pm on SundaySeen Monday afternoon; the client has already instructed another firmAcknowledged within minutes, details captured for the conflict check
Undertaking sought by the other sideRead among general correspondence, with the risk that carriesRecognised as an undertaking and escalated to a named solicitor immediately
Counsel's advices on a PI fileSits in a general inbox until someone forwards it onRouted to the fee earner with the matter and the deadline attached

Notice what isn't in that column. The AI does not advise, it does not comment on the merits of a claim, and it does not answer a client's legal question โ€” it says the firm will come back to them and tells the solicitor to do so. That boundary is set deliberately, and it is not adjustable. An inbox tool that improvised legal answers would be a professional liability, not a service, and no efficiency saving is worth that.

Confidentiality & Data

Where Your Clients' Correspondence Actually Lives

Solicitors ask harder questions about data than most clients we work with, and rightly so. Here are the plain answers. The AI operates inside your own Microsoft 365 or Google Workspace tenancy โ€” correspondence is read where it already sits and is not exported into a separate archive we hold. Processing happens in the EU, we sign a data processing agreement as your processor under GDPR, and retention periods are yours to set. If the Data Protection Commission ever asks what happens to personal data in your inbox, you have a documented answer rather than a shrug.

Access is scoped: the AI can be restricted to named mailboxes, and individual matters โ€” a sensitive family law file, anything under a confidentiality undertaking โ€” can be excluded entirely so it never reads them. Every classification and every draft is logged, so a partner can see exactly what the system did with a given message. Nothing about the arrangement changes your obligations under Law Society of Ireland guidance on confidentiality and client communication; it simply gives you a faster, better-documented way of meeting them.

If you would rather see the service in general terms first, our email management service page covers the basics, email management in Ireland covers our Irish setup and support, and email management software compares buying a tool with having it run for you. Or just tell us about your firm's inbox and we'll show you the triage running on your own matter types.

Client Stories

What Irish Firms Say

Conveyancing correspondence used to be filed at the end of the week, if we were lucky. Now every message is on the right matter before I read it, and anything touching a closing date is at the top. Response times went from 48 hours to under 4.

FAQ

Email Management for Solicitors: Your Questions Answered

What is email management for solicitors?

It is the work of keeping a law firm's inbox under control: triaging correspondence by matter and client, threading it to the right file, answering routine client queries and making sure nothing time-critical is missed. AgentHub's AI Email Manager does that first pass automatically, the moment each email lands.

Will the AI give legal advice to our clients?

No. The AI is configured never to give legal advice and never to express a view on the merits of a matter. It drafts acknowledgements, status updates and administrative replies only, and on a live matter nothing leaves the firm until a fee earner has read and approved it.

How does it handle client confidentiality and GDPR?

The AI works inside your existing Microsoft 365 or Google Workspace tenancy under a data processing agreement, so correspondence stays in your mailbox rather than being copied to a third-party archive. Data is processed in the EU, retention is set by you, and we can restrict the AI to named mailboxes or exclude matters entirely.

Can it cope with a busy conveyancing department?

Conveyancing is where firms see it first. Contract queries, requisitions on title, loan pack confirmations and closing dates all move by email in long chains, so the AI threads each message to the right file, surfaces anything that affects a closing date and drafts the routine confirmations for approval.

Does it work with our case management system?

In most cases yes. The AI reads and labels mail in Outlook or Gmail and can push correspondence to your case management or document system where an API exists. Where it does not, it applies your matter references and folder structure so filing stays a click, not a chore.

How quickly will new enquiries be answered?

Within minutes, at any hour. A prospective client emailing three firms about a probate or a personal injury claim usually instructs whoever replies first. The AI sends a considered acknowledgement, captures the details you need for a conflict check, and alerts the fee earner who takes that work.
